County Clerk Makes Records Easier to Find

For years, the Smith County Clerk’s Office Family Census Documents – which run from 1934-1969 -- were in a jumbled mess. Often, people who came to the office in search of a document from one of the 117 boxes left empty handed.

Smith County Clerk Karen Phillips said her office sees many people come through the Vital Statistics Department of the County Clerk’s Office in search of proof of their date of birth so that they can begin drawing social security.

Vital Statistics employee Rebecca Armbruster said people come in for a Family Census Document for family research/genealogy or to provide proof of facts, like a date of birth or names of family members.

From 1934-1969, the Family Census Documents were sent home with children by their schools. After the families filled them out, reporting their children and their information, the schools filed them with the county. Mrs. Phillips said these documents were impossible to search until she asked her employees to go through every box and organize them.

When they had time, employees went through the 117 boxes of files, which contain tens of thousands of documents, and put them in a searchable order, Ms. Armbruster said.

This project was important because the records were in desperate need of reorganizing. It was also necessary to prepare for the future scanning and digitizing of the records, she added.

Since the project has been completed, not one person who has come in to ask for their information has left empty handed, Mrs. Phillips said.

Instead of taking days to search for a record, it takes a couple of minutes.

Mrs. Phillips is asking anyone who might have come to her office and were unable to find their information from the Family Census Documents, to come back and check again.
